Use Outlook 2003 outside CERN

Use Outlook 2003 outside CERN (RPC over HTTP).

Outlook 2003 uses the MAPI protocol to connect to the mail server. This protocol is not available from outside CERN because of firewalls, resulting in Outlook not working from outside CERN in its default configuration.

As a result, a different configuration is required to use Outlook from outside CERN. When Outlook is configured in "RPC over HTTP" mode, it can connect to CERN mail servers using the standard HTTPS protocol, which is available from outside CERN. One Outlook is configured in "RPC over HTTP" mode, you can connect from anywhere without a VPN. This mode also works fine from the CERN network.

Requirements:

  • Windows XP SP2 (if you only have XP SP1, run this to add some required registry settings).
  • Outlook 2003 (part of Office 2003 suite).

Outlook 2003 Configuration for pre-configured NICE computers (e.g. CERN laptops)

  • Close Outlook if it's already running
  • Go to mail configuration: Start Menu -> Control Panel -> Mail
  • Click E-mail Accounts
  • Select View or change existing e-mail accounts
  • Select Microsoft Exchange Server and click Change
  • Follow the steps described  in Configuring the Microsoft Exchange Server account section further down in this document

Outlook 2003 Configuration for non-NICE computers (e.g. a home computer)

  • Close Outlook if it's already running
  • Program Files -> Control Panel -> Click Mail
  • Show profiles
  • Check Prompt for a profile to be used.

  • Add new profile -> type in a profile name -> Click Ok

  • Add a new e-mail account -> Click Next

  • Select Microsoft Exchange Server and click Next

 

Configuring the Microsoft Exchange Server account

  • If (and only if) you are physically connected to the CERN network at the moment:
    • Simply type mailstore.cern.ch in Microsoft Exchange Server field
  • If you are not connected to the CERN network, or if you are not sure, or if you already completed all the configuration steps using the above value but it did not work:
    • Some additional information about your mail server is required to continue the configuration
    • Go to https://cern.ch/mmmservices with a web browser
    • Click "Mailbox information" and provide your username and password
    • Note the "Server" line. It will look like "CERNXCHG45-SG1-MS1". Take the first 10 characters of this line, i.e. "CERNXCHG45" in this example.
    • Going back to the Outlook configuration screen, fill the "Microsoft Exchange Server" field with these 10 characters (i.e. "CERNXCHG45" in our example -- do not type the quotes)
  • Check Use Cached Exchange Mode
  • type your NICE username in User Name field
  • DO NOT click Check Name

  • Click More Settings
  • If you see the following message, click OK (this will happen when you are NOT connected to the CERN network)

  • If you see the following window, click Cancel (this will happen when you are NOT connected to the CERN network)

  • When the advanced settings finally appear, select Tab Connection

  • Check Connect to my Exchange mailbox using HTTP
  • Click Exchange Proxy Settings...

  • Type in mmm.cern.ch in URL field.
  • Check On fast networks..., and On slow networks...
  • Selct NTLM Authentication

  • Click Ok -> OkOk
  • Click Next -> Finish -> Ok
  • Run Outlook 2003
  • If you are prompted for a profile, select the newly created profile (If you'll always want to use this new profile, you can check Set as default profile)
  • When asked, type in your CERN\username and password. You must type CERN\username, your username alone will fail.
